eSPACE is available as a native Mobile App!

Once installed, launch the app and log in with your normal eSPACE credentials.
- Enter your email
- Enter your password
- Hit Sign In
Choose to Allow Notifications to take advantage of Push Notifications
Push notifications are received front and center on your device and can convey real-time updates, transactional messages, reminders, and more all about eSPACE

You can adjust push notifications settings on the desktop version. But you must actually log in to the app in order for push notifications to start working (regardless of your settings).
Work Order & Asset Management in the App
App Navigation
A. To see the side menu and all the options available in the app (depending on your user level), click the man button in the top left hand corner. Please know that not ALL features are available in the app.
- If sub-admins are given the ability to manage equipment and inventory, then they will also see the features encircled in yellow in the screenshot.
B. For bundled customers with Event Scheduler AND Work Order & Asset Management you will see the option to switch between the two modules at the very bottom of the app screen. However, all customers will see the Profile and Notifications option at the bottom as well.
Work Order & Asset Management
Regular users, sub-admins and admins can switch to Work Orders to manage Work Orders. Portal users will be able to submit work orders in the app by clicking on the "Work Order Portal" option in the left side menu bar in their Event Scheduler account.
Dashboard
- 1. Admins and sub-admins will be able to view work orders in all the various grids and assign work orders that are in the "New Work Orders" grid on the dashboard.
- Work orders that get auto-assigned to departments or users based on event categories and routing rules will NOT appear in the "New Work Order" grid as that grid is only for unassigned work orders.
- Only admins will see all the grids in gray.
- Sub-admins will see "All Completed Work to Be Reviewed" if they have been given permission to "Close Work Orders". While work orders are marked as completed by the assigned user, if admins require all completed work orders to be reviewed (which they can also set as a default), then once a work order is reviewed, the admin or sub-admin can update its status to "Closed".
Viewing Assigned Work Orders

2. Users will be able to see all work orders assigned to themselves, and start and complete them.
- Users will only be able to have work orders assigned to them that have a service category, department, and location that matches one of the service categories, departments, and locations that they have access to under their user's permissions.

Example: This user only has access to the "Computers" and "Sound Equipment " service categories, "IT" department, and the East Campus, so they will only see work orders with those service categories in that department and that location on their dashboard.
- For any work orders assigned to that department, the user can "Accept" the work order.
- For any work order that is directly assigned to them, they will see that in the "My Assigned Work Orders" grid and will see the buttons to view, start, and stop the work. Once they complete the work they can update the status of the work order to "Completed".

Searching for Work Orders
- 3. Admins, sub-admins and regular users will be able to search for work order by key words in the "master search bar".
Sorting Work Orders

4. Admins, sub-admins and regular users will also be able to sort work orders in each grid by clicking on a column header. They can sort the works orders in a grid by a column header in either descending or sending order.
- Click on All Work Orders in your left side menu to see all work orders in the eSPACE that you have access to (based on the service category and departments that your admin has given you) as well as many additional ways to sort and filter work orders. Because of the amount of information that this view is designed to display, this view works better on the desktop view. In the desktop view click on Work Orders > All Work Orders to access.
Completing Work Orders

Admins can require that users who are assigned work orders enter to enter in an estimated total time spent on the work order when they update the status to completed.
- In order for this to happen Require hours upon Work Order completion if there are no tasks or cost items that are Time/Labor" must be enabled under Settings > Advanced > General > Work Order Workflow.

Tasks on Work Orders
- When a work order has tasks, users can easily add the time it took the user to complete each task
- If estimated work hours are required for each work order, users can also easily enter the estimated hours spent on a work order when they mark it as complete
Equipment
- Admins (and sub-admins with permission to) can also manage equipment in the app.
You can export equipment to Excel or export the barcodes to a PDF in the app as well. While both of these options will give you a preview of the information within the app, in order to print both of these, you will need to export them in the desktop version on a computer or tablet.
Settings
- Admins can also view and manage all basic and advanced settings for this module as well in the app.
Notifications
Every user can manage their own notifications in the app as well as the desktop view. To do so just click on the profile icon and then choose "Notification Preferences" or click on Notifications in the bottom menu.
Once there, you can toggle on or off any of the notifications. Remember to click "Save" before leaving the page.
With notifications allowed, you will also have a badge counter that appears on the app
