Term |
Definition |
Admin |
Highest level user with full permission rights, including Settings. They can edit/delete, approve/decline, cancel occurrences/events, resolve conflicts and override closures and auto approve any event based on their location(s) permissions given. They can also be given Pre-Approval and/or Final Approval rights. |
Approval Area |
Approval Area(s) allow Sub-Admin(s) to approve certain items (Spaces, Resources, Services) for an event, based on their user permissions. |
Approved |
An event is marked as approved when all items (Spaces, Resources, Services) have been approved by an Admin and/or Sub-Admin. |
Approved w/Conflicts |
An event that has one or multiple item conflicts, but was approved by an admin regardless. |
Approved w/Shortage(s) |
An event that had one or more resource shortages (inventoried resources); however, the Admin approved it. |
Availability Schedule |
Admins have the ability to set up allowable “Availability Schedules” that can then be assigned to your facility, location(s), and/or any items (Spaces, Resources, Services). |
Calendar |
Filterable calendar of all events that have been submitted within your org that can be viewed by users who have access to the Event Scheduler and based on their user permissions given. |
Calendar Labels |
Admins can add labels to the internal and/or public calendars to make announcements, share birthdays, etc. |
Calendar View Only |
Most limited user. Only has access to view the internal calendar when they log in, based on location(s) permissions given. |
Closures |
An Admin has the ability to close down a facility as a whole, by location(s) or at the Item level (Spaces, Resources, Services). Closures are for a particular instance and time frame. |
Combination (Combo) Space |
A large space that can be subdivided into smaller spaces with partitions, dividers, etc. |
Configurations |
Thumbnail image and/or text that can be associated to any items (Space, Resource, Service). |
Conflict(s) |
When one or more items (Spaces, Resources, Services) conflict with another event during the same date and time range. |
Contact(s) |
A person (ex: volunteer) that is usually outside of the org that has been added as a contact so that they can be associated to any event and receive an email notification once the event is in an approved status, based on org settings. |
Document Library |
A depository for any documents that may be associated to an event or item (Spaces, Resources, Services). |
Draft |
An event in process with details tab (first page) completed that has not yet been submitted for approval or has been submitted but then edited and not resubmitted for approval. |
Drag & Drop |
Allows Admins to order their items (Spaces, Resources, Services) in the way they want them displayed during the event creating process. |
Event Categories |
Ministry areas or departments within your organization that can be associated to an event and filtered within calendars, reports, etc. |
Event Request Forms |
Custom event request forms that can be set up by an Admin(s) so that the public (ex: congregants) can request events, rent space, etc., based on your settings. |
Expand (+) |
Anywhere you see the "+" symbol, you can click it to expand to view additional information. |
Export Events to iCal |
Ability to export your events (public or private) to your Google Calendar or Outlook. |
Final Approval |
Optional setting that allows an Admin(s) and/or Sub-Admin(s) as Final Approver(s) to take one last look at the event and approve or decline. |
Final Approver |
Any Admin(s) and/or Sub-Admin(s) that has been given permission to final approve (one last look) events or decline them. All items within the event are in an approved state. |
Form Builder |
Admins can create and customize forms that must be completed during the event creation process by the owner of the event. |
Internal Calendar |
A calendar of events with optional views that only users within the system can view. |
Inventoried Resource(s) |
A resource that has been marked as an inventoried resource so that you can keep track of the available quantity on hand throughout the event creation process. |
Item Groups |
Grouping of items (Spaces, Resources, Services) that can be named and saved (ex: Weddings) so that you can quickly add them to desired events and all items will pre-populate. |
Item Tags |
Ability to add attributes to any item (Space, Resource, Service) so that you can easily filter and search for items in a very specific way (ex: TV, Whiteboard, No Food Allowed, Seats 6, etc.). |
Items |
Spaces, Resources, Services within eSPACE that can be associated to any event. |
Knowledge Base |
A library of helpful articles and short videos that can be searched by topic. |
Location(s) |
Defined by physical address or grouping of spaces where you have events (ex: Campus, School, Building, etc.). |
My Dashboard |
A data dashboard that visually tracks events from creation through the approval process, completion and more (ex: Filterable Calendars, Reports, Settings, etc.). The dashboard includes various expandable approval grids with events based on the status, it is customizable to fit your organization's needs and the view is based on each user's permissions. |
Notification Preferences |
Every user who has access to the dashboard has the ability to view and subscribe to any number of system notifications that are sent out of eSPACE. |
Notifications |
These are system generated notifications that are sent out of eSPACE. |
Parent/Child Hierarchy |
Ordering of items (Spaces, Resources, Services) within eSPACE when using a hierarchical tree. Children items branch from the parent item and can be as granular as desired. |
Pending |
Awaiting approval (ex: Items within an event). |
COMMUNITeSPACE |
All users who have access to the dashboard and can submit their ideas to eSPACE in COMMUNITeSPACE under the Feature Request section so that they and others within the system can vote on them. Our development team reviews these on a regular basis and considers them for future enhancements. |
Pre-Approval |
Optional setting that allows an Admin(s) and/or Sub-Admin(s) that have been given permission as Pre-Approver(s) to pre-screen events that have been submitted and either approve them to go thru the normal approval workflow process or decline them. |
Pre-Approver |
Admin(s) and/or Sub-Admin(s) that have been given permission as Pre-Approver(s) to approve events to go through the normal approval workflow process or decline them to stop them from going through the approval workflow process. |
Profile |
Where users can manage their notification preferences, modify name, email, choose a default location, Choose to Show Setup and Teardown Times in Calendars, Default New Events To Be Public and add a profile image. |
Public Calendar |
Calendar of public events that can be displayed on your org's website, based on your public calendar settings. |
Public Events |
Events that have been created, marked public and in an approved state so that they can be displayed on your public calendar and web-site, based on your public calendar settings. |
Resource Shortage(s) |
When you have an inventoried resource shortage within an event, based on quantity available during the event start/end dates/times and/or event setup teardown dates/times. |
Resource(s) |
Equipment or moveable assets needed for an event (ex: tables, chairs, microphones, etc.) |
Service(s) |
A service that requires the help of one or more people (ex: childcare, food service, audio/visual support, etc.). |
Spaces |
Room or place where your event occurs (ex: sanctuary, conference room, ball field). |
Sub-Admin(s) |
Mid-level user with access to the dashboard that has partial Admin rights. They can create events, edit/delete, or cancel occurrence/event, only if they are the owner or event editor of the event. However, they can approve or decline items (spaces, resources, services) within their "Area of Approval" based on their location(s) permissions given. They also have the ability to Pre-Approve and/or Final Approve events. |
Transfer Events |
Feature within eSPACE to transfer events in bulk to a new user/event owner within the org. |
User |
Limited user with access to the dashboard. They can create events (events go to pending status), based on their location(s) permissions given. They can edit/delete, or cancel occurrence/event only if they are the owner or event editor of the event. |
Users |
All users that have been added to eSPACE by an Admin. |
Work Order Portal |
If you are a bundled client using the Event Scheduler and Work Order Management modules, users who have access to the Event Scheduler dashboard can easily request a work order by selecting this button on their dashboard. |
