Virtual Events with Zoom Integration

By integrating your personal Zoom account with your personal eSPACE account when you are creating an event and you enable for the event to be virtual, eSPACE will automatically generate a Zoom Meeting Link for you on the event Details tab.

  • You can add one Zoom account per eSPACE user. It is not recommended to connect your Zoom account to your eSPACE account if that Zoom account is shared with other staff members. Instead, you can create either spaces or resources that represent "Zoom" accounts for people to reserve for their event and then once reserved, conflict detection will prevent another user from reserving the same Zoom account for the same time and day.

Setting Up the Integration

Go to the person icon in the top right corner to access your profile and then click on Zoom Integration

Now, when entering a Virtual Event, a new button appears:  Create Zoom Meeting

After clicking that button, a new Zoom link automatically populates the Virtual Meeting Link field

And, your eSPACE event appears in your Zoom application

In eSPACE, under the Occurrences tab, your event is marked VIRTUAL with the Zoom Link provided, and you will notice a new Zoom Meetings tab

On the Zoom Meetings tab you will find your occurrences, the Zoom Link and the Zoom Meeting ID

Additionally, when you Add a Schedule to your event, you can get a separate Zoom Link

Your new Schedule appears in the drop down field in the top right corner of your event in both the Occurrences Tab and Zoom Meetings Tab

Troubleshooting

  • Make sure you have a Zoom Account prior to set up

 

UNINSTALLING the eSPACE App from Zoom

If you should decide to stop using the Zoom Integration with eSPACE, follow the steps below:

eSPACE

  1. After logging into eSPACE, go to your profile page
  2. At the bottom under Zoom Integration, choose Uninstall Zoommceclip0.png
  3. At the prompt, choose Yesmceclip1.png

Zoom

  1. Log into your Zoom account from a web browser
  2. Navigate to the Zoom App Marketplace (Admin>Advanced>App Marketplace)
  3. Click Manage>Installed Apps or search for the eSPACE App
  4. Click the eSPACE App
  5. Click Uninstall
