- Location Conflicts - If you have multiple locations set up for your organization and would like to show event conflicts across desired locations, go HERE to learn more.
For example, let's say you have a women's event on a Saturday morning at the main campus; however, you have another women's event at the east campus during the same date and time. You may want to show location conflicts here so that an attendee doesn't have to choose between the two events that are scheduled. - Reports - Users now have the option to search for events that include "ALL" items OR events that include "ANY" items (excludes Space Usage and Room Cards reports).

- Public Event Requests - Now Admins have the ability to view any "drafts" event requests that have been viewed or perhaps edited but not yet submitted for approval. To see all event request drafts, simply go to "All Event Requests", located on the left sidebar of your dashboard. You will then be able to see the following grid and tabs within that includes "Drafts".

New Features
- Awaiting Approval Visibility - Admins/Sub-Admins can now see any outstanding pending approval items on their approval grids by clicking the clock icon below. This gives a quick view of all pending items for the event.
- Sub-Admin Improvements on Availability tab - Now when you are on the Availability tab of the event creation process, the items that need approving will only be those that relate to the Sub-Admin's approval area! There is also a new button "Show All Items" that will still let the Sub-Admin to see all items across the event (see below). NOTE: When Sub-Admins receive an email for items to approve, it will only include their items for approval with quick links.
- The Report Builder report now includes a column header option for "Day of the Week" so that when this is selected, the day of the week for the event will be displayed under this column.
- All events now include a Schedule ID below the Event ID within the "Details" page of the event. This is very helpful if you have multiple schedules and you want to insure that you are looking at the details for the correct schedule. To learn more about Schedules, go HERE.
- Admins, you now have the ability to export your contacts to Excel! You also have the ability to sort within each column header (ascending/descending order).
- Now, when you copy an event, schedules are also included!
- Reports now include the "Day" of the week on the output of the report (including "Find a Space."
- Item Grids now include Area, Form and Configuration associations for easy view! The Spaces grid also includes "Max Capacity" as shown below.

- Event SETUP and TEARDOWN: Admins can now require Setup and Tear-down times for their organization by going to Settings>Advanced>General>Optional Settings as shown below.
- Event SETUP and TEARDOWN: Admins can now have a preset-buffer based on event start and end times. This works well if you want to default the setup and tear-down time to specific minutes before or after the event times when created. This is also in Settings>Advanced>General>Optional Settings as shown below.
- Spaces / Services / Resources can now be set to be in a customized order! Admins can now click the "Drag and Drop" button and order their items as they desire. As a note, items default to alpha order. Once the items are re-arranged, they will be automatically saved in that order anywhere they are viewed at in eSPACE.
- Conflicts are now displayed before having to be selected! Now when creating an event or editing an event in draft, based on your event dates & times, an item will show "In Conflict" (see attached below) even before you select it. This will make it easier and faster for you to get to the item you need without the frustration that it is already in use.
- Event Reminders - Now when setting up an event, you can set an event reminder to go out to any Admin, Sub-Admin, Event Owner, and even Event Contacts via email!

- Internal Calendar - Now when you filter your internal calendar, it will stay filtered until you clear the filter!
- When a public "Event Request" is declined, we now show "Declined By" in the event request email.
- A new report type has been added to the Report Builder called "Item Usage". This report type allows you to pivot the report across any item type (Space, Resource, Service) with form questions and answers.

- We've added a green "View Occurrences" button on the Availability tab with an event with multiple schedules. This allows you to quickly view the occurrences that are tied to a particular schedule.
- Now when an event has declined items, you cannot approve it on the dashboard until those declined items have been addressed!
- The "Event Approved" email was enhanced to include more information - almost like a summary!
- We have added a new button on the Event Availability tab to make it easier to view items for a particular schedule. You will now see a button called "Show Current Schedule". This will auto-filter to only the items related to the selected schedule.
- We have updated the Event Summary to now include an Occurrence Summary. You can view any summary for any particular date of a recurring event by simply clicking on any of the dates w/hyperlink in the summary.
The new summary will be displayed, with items showing for that particular occurrence and you will have the option to email the summary by clicking the green "Email Summary" button on the top right of page.
- Sub-Admins, we have updated the Dashboard Grid title from Requires Administrative Approval to Requires Sub-Admin Approval.
- Now, Admins can also "Transfer Events" in bulk from one user to another based on Event Contact.
- We fixed the reminder email when a recurring event is coming up on it's end date.
- Admins can now be more specific within the Event Request Forms regarding what items (public Spaces, Resources, Services) that they want to show within the form request by selecting the new setting option "Is Space (Resource or Service) Specific", then choose their desired items and SAVE.
- Combo Rooms - If your organization has large spaces that can be divided into several smaller spaces, you can now set the combinations up so that conflicts are detected across all the different combinations of those room setups.
- Item Tagging - This new feature allows you to add attributes to any item (Space, Resource, Service) so that you can easily filter and search for items in a very specific way!
- Users, you can now view the details for any work orders that you've submitted! Go to "Work Order Portal", located on the top of your dashboard, then select "My Work Orders" and click on the expand button to the left of the work order number!
SEPTEMBER 2018

- You can now suppress the hover details on the internal calendar so that they do not get in the way when viewing the internal calendar! Go to the bottom left side of the internal calendar to find this new setting.
You can easily reverse this setting by going to the bottom left side of the internal calendar and selecting the following:
- You can now pull events on reports by contact(s) name or emails.
- Admin(s) can now grant Sub-Admin(s) permissions to be Pre-Approver(s) and/or Final Approver(s) if your organization requires Pre-Approval and/or Final Approval within Settings>Advanced>General>Optional Settings. Go HERE to learn more about adding these user permissions.
- We now expose the "Groups" button at all times, so that you can easily add an item grouping to your event regardless of the status of the event. To learn more about adding and managing "Groups", go HERE.
- We've added a new "Clear" gold button, located on the lower left corner of each item tab for Spaces, Resources and Services. This allows you to quickly clear all of your desired items. See an example below for the "Clear Spaces" button. Go HERE to learn more!
- Now when you add a "Public Calendar Image" on the event "Details" page of the event, you will see an expanded thumbnail view of the image as shown below. Notice also that you have the option to "Remove Image". Note: Only events that have been marked public and are in an approved status will show on the public calendar.
- Event Registration users, we have included the Event Registration link within iCAL! Simply click on the event within your iCAL calendar, a window will open and the event registration link will be attached as shown below.
- You can now export your internal calendar to Excel! Simply select the "Export to Excel" button as shown in the first attachment.
- When a public event request has been submitted for approval, the requester then becomes the contact associated to the event and the manager who submitted it becomes the owner of the event. Now on the submitted request and on the "Contacts" tab of the event, the owner of the event can select "Add to Contacts" (shown below) to add the requester to the "Organizational Contacts" for future use!
- We now show the Location Code when doing a global search!
- Admins can now restrict a Resource and/or Services to a certain Space or group of Spaces. Want those chairs restricted to the 1st floor only? Or maybe the grill only available to your outside spaces? Now you can! To learn more, click HERE.

- Report Builder: You can now run a report for your calendar labels. Choose the "Calendar Labels" report type (see below), choose your criteria and then select "Run Report".

- You now have the ability to allocate resource quantities and services across multiple spaces! For example, if you request 30 chairs and you have 3 spaces selected, you can allocate 10 to each space in the "Setup" tab. These allocations will now show up on the Setup Reports as well as Space Usage in the Report Builder, including the mobile app!

> We improved the performance of the Event Calendar in mobile and added a brand new FILTER!

- If you are a using the "Event Request Forms" (external form), we have moved the Recurrence Rules below the Event Dates to mirror the event Details page which is more user friendly!
- Now, when you want to do a search, using "Find a Space", you have the ability to select multiple locations instead of just one!
- What once was the "Space Scheduler" is now the "Item Scheduler"! We have made some great improvements around the Space Scheduler to include resources and services....not just spaces! We also added some additional new enhancements here, such as:
> Improved performance so it doesn't feel as slow and "clunky".
> We added <- and -> to advance and go back dates.
> We added a FILTER so you can now filter the scheduler like you do the internal calendar.
> We integrated Quick Event Create when you double click a time slot.
< Now when you create an event and click back to the scheduler we will save your filter, expanded state, and date.
>We also added a Resources & Services scheduler that you can get to by clicking the drop-down at the top of the screen:
- Quick Event Create - You now have another option when adding/creating an event that is an easier (and quicker) to create events! Simply click the "Quick Event Create" button to get started, add your items (spaces, resources, services) and submit your event! You can always go back and add any other details at a later time.
- Admins and Sub-Admins have approval options within each tab of the event!
- New "Drag and Drop" button to order your spaces!
- Now the internal calendar orders events based on "Event Date and Event Time".

- Event Created From and To date range has been added to all report criteria pages!
- A new setting has been added to prevent event Requests, using the Event Request Forms, from being submitted if there are any conflict(s). By default, this has been enabled. To disable go to Settings>Advanced>Event Request Forms, select the green edit button to the right of the form, un-check the box shown below and SAVE.
- There are improvements around messages and history for events "Awaiting Final Approval".
- We now have a new Public Calendar setting to hide configurations. This setting has been enabled by default (see below). To disable this, go to Settings>Advanced>Public Calendar, un-check the box and SAVE.
- Item Availability and Closures have arrived! With this new enhancement you can:
> Set availability schedules for your facility/location(s)/item(s) so that items can only be reserved during those set times.
> Add closures so that you can restrict items from being reserved during holidays or certain times of the day!
> Automatically create calendar labels when you create a closure. - We released an integration between our Event Scheduler and Work Order Management modules! This is a great way to have work orders automatically created for event setups, tear-downs, and more. To learn more about this new integration and how it works, click HERE.
- New Condensed Navigation Mode setting - This setting gives your dashboard/sidebar a much cleaner look. This optional setting can be selected for your facility by going to Settings>Advanced>General>Optional Settings, then scroll down to the bottom of page, check the following (see attached) and SAVE.
- We have made some changes to the Event Create/Edit flow.
> Date fields have been moved up for quicker entry.
> Setup and Tear-down dates can now be scheduled on different days.
> Collapsed some additional settings at the bottom.

NOTE: These changes have also been added on Event Edit.
- We have made some changes to the dashboard! On the top right of your dashboard, you will see "My Modules", where you can select from the drop-down menu to get to any modules that you have subscribed to quickly. You can now reach out to support by clicking the "Help" drop-down menu and then "Support". You will also find other options within "Help" (see below). The person icon drop-down menu, contains your personal information such as profile, notification preferences, and billing information (if billing contact). You can also sign out here.
- The "Submit Event" button is now included on each tab of the event creation process; however, it only shows when the event is in "draft" status and if there is enough information to submit the event. Note: If your Admin has the setting to not allow users to submit an event if there are conflicts, then "Submit Event" will not be shown if there is a conflict.
- When using the public "Event Request Forms" option, the conflict indicator now shows for the event items selected and within the grids.
- Event Approval emails will now go to the event owner(s) and contact(s), even if the event was AUTO APPROVED by an Admin.
- When you add a contact to an event, the emails that go to the contact(s) will no longer have links into eSPACE.
- The state on the register forms is now a DROPDOWN of abbreviations.
- Canceled occurrences now show when you print the internal calendar.
- When adding an event and on the details page, we now show attached image on the Public Calendar when you click on the event!
- Find a Space - If you do not add a date range, we hide the days of the week.
- Added a history record (History tab) for COPY event approved. The copied event will now show when the event was created (see attached).
- Removed canceled occurrences from the Space Scheduler.
- Configurations - Now, Admins have the option to add a description that only can be seen when users are choosing a configuration on the Setup tab of the event creation process. This should be used to help users decide what configuration they should choose.

New Features
- Made "Add Event" widely visible throughout the Event Scheduler.
- Setup Tab (within event creation): Added the word "Edit" on the green edit buttons for better clarity that are located to the right of each item line for Spaces, Resources, and Services.
- Calendar Labels: Search button has been added for both current and past calendar labels. Go to Settings>Advanced>Calendar Labels to start your search!
Event Request Forms:
- New option added to not allow "All Day" event request. To enable this option, go to Settings>Advanced>Event Request Forms, select option within form, and SAVE.
- Added day(s) buffer option to prevent last minute event requests.
- The day of the week has been added as a Column heading for Occurrences within the Availability tab.
- New "Today" button on the Daily and Weekly Space Scheduler.
- When assigning new users as Event Owner to events, if previous owner was Admin and event was auto-approved, this now is defaulted to "False" for new event owner. This also applies to Events>"Transfer Events", when transferring ownership of events to new owner in bulk.
- You can easily search, view and filter all "Canceled Events" by going to Events>Canceled Events, located on the left sidebar of your dashboard.
- Now when you select the Report Builder and Space Usage report type, you have the option to select 2 additional fields "Associated Resources" and "Associated Services" so that when you run the report, your resources and services associated to the space within Setup tab will show accordingly.

New Features
- Now, all users have full control over all email notifications sent from eSPACE. Pick and choose the notifications you want to receive... and cut off the ones you don't. To learn more about this, go HERE.
- The Event Setup Report is now included on the Setup tab within approved events.
- New Public Calendar setting for font size.
- You can now set a default configuration for any of your items (Spaces, Resources, Services) that can be scheduled. Simply go into your Settings and click on any item. Under the "Allowed Configurations" section click the "Set Default" button for any configuration that you want to automatically add for that item when it's added to an event. NOTE: Updated default configuration on mobile as well!
- Last Submitted Date has been added to all Admin grids (Requires Administrative Approval, Pending Pre-Approval, Pending Final Approval)
- We have added a new "Event Setup Report" button on the "Setup" tab inside an event. This will allow you a QUICK and easy way to see all of your setup information for a given event date including all form information and configurations. Not only can you see the information, you can quickly print it or even email it out to others!

New Features
- When using the eSPACE Event Scheduler, you can now add a conversation! You may be asking what are "conversations"? They can be defined as a group of comments between a certain sub-set of people regarding the event. To learn more, go HERE!
- We made some new enhancements around the eSPACE user interface that includes the following:
- You now have the ability to cancel events, schedules and/or occurrences! HERE is an article that has more details on cancellations.
- We introduced a new look using tabs!
- We added an event status badge to the right of the event name within an event.
- We added inline help that can be accessed by clicking the question mark on any page.
- Made some changes to increase speed and performance while working inside of events.
Updates for Features:
- You now have the option to show your space(s) on the Public Calendar. In the past, you had to hover over your public event to view the space(s). This setting is already enabled by default. To disable, go to Settings>Advanced>Public Calendar and un-check "Show Spaces on Public Calendar and Pop-up Details" and SAVE.
- You can now select your "default calendar view" within "My Profile" so that when you open the internal calendar that will be your view!
- "Find a Space": You can now search for a space with or without max capacity. You can also choose by locations and space (Parent level)! When you add an event from here, the start and end times, location, and space will be pre-populated for the event.

- Here is another new public calendar setting (Settings>Advanced?Public Calendar)! When this box is selected and you have an event with different schedules, the schedule name will show on the public calendar in lieu of the event name!
- Admins, if you do not like seeing pop-ups on the public calendar, you can now hide them! Simply go to Settings>Advanced>Public Calendar, un-check the following box and SAVE.

- All Event Reports now includes "Event ID(s)" criteria so that you can quickly run a report based on the Event ID(s) entered.
Room Card updates (Reports>Room Cards):
- Added new criteria within report selections to include "Show Spaces With No Events" (optional setting).
- You can now enter a desired font size within the text box!
- You also have the ability to run and print the report based on your desired output choice (space in alpha order OR date in numerical order).
- Users that use the pre-approval option and submit an event will now see their pending event within their "Pending Approval" grid. An "Awaiting Pre-Approval" badge will be displayed to the right of the event name and highlighted in blue (see below).
- Bundled Client users that have access to the Event Scheduler now have the ability to add and view comments within a work order. However, an Admin must first enable this setting.
- Now when an approved event is being updated, the event will show on the internal calendar, highlighted in gray with status as "Currently being updated..." No more missing events!
- Enhancement to public calendars where we now do not show configurations in the details popup.
