Overview
Your Dashboard in Work Order & Asset Management is a great way to track work orders based on the grids that are provided. Admins (and sub-admins that have been given additional permissions) will see all unassigned work orders in the "New Work Orders" grid. Once they are assigned or if they are automatically assigned to a user, department or external vendor they will appear in the "All Work Orders in Progress" grid as well as other appropriate grids such as "My Assigned Work Orders" or "My Department Work Orders" if the work order is assigned to an admin with access to one or more departments.
- If you need to find a specific work order (such as a completed one) you can navigate to Work Orders > All Work Orders and search through ALL the work orders that you have access to based on your locations and user permissions: Finding a Certain Work Order Regardless of Status or Assignment | All Work Orders View
- If you want to set up certain work orders to be automatically assigned to certain users, departments or external vendors then we encourage you to set u a Routing Rule: Creating Routing Rules to Auto Assigned a Work Order
- Below is an example of an Admin's Dashboard with All Possible Grids Showing. Your dashboard may look a little different based on your account settings and user level.
- All users will only see the work orders that have the same service category and department (if your admin has added departments) as the ones that they have access to under their user permissions. These can be changed at any time by any admin on the account.
- All grids show the number of work orders associated within, you can search for a specific work order within any grid and export the work orders within any grid.
- You can easily expand every grid on your dashboard by clicking the expand button "+" to view all work orders associated within. You can also collapse each grid.
- To see and search through all the work orders, despite what grid they are in on the dashboard, go to Work Orders > All Work Orders in the left side menu bar.
Admin Specific Grids
- New Work Orders - Any new requested work orders that can be viewed, printed, not accepted and/or assigned to a department or person to perform the duties.
- All Event Work Orders - If you are a bundled client, using Event Management and Work Order Management and have selected the setting with in Event Management to Allow Work Orders to be created from Events, all new work orders generated from an event will be displayed here.

All Work Orders In Progress - ALL work orders in progress that have either been auto-assigned to a department or user based on Routing Rules OR have been manually reviewed and assigned to a department or appropriate person to perform the duties. You have the option to print, view, or re-assign them.
- If a work order is PAST DUE, this will be indicated below the WO #.
- If there is an attachment within the work order, this will be indicated by a paperclip icon below the WO #.
- If there is an unread conversation within the work order, this will be indicated by a red comment icon below the WO #.
- All Completed Work to be Reviewed - These are work orders that have been completed and can be reviewed, printed, not accepted, and/or closed by an Admin. If you choose not to accept, enter your reason and it will go back to the person performing the work. Once they have performed the work to your satisfaction and marked the work order as complete, you can review again and close.Once you close a work order, it automatically is sent to "Closed Work Orders" folder at the top of your dashboard so that you have a history of all of your closed work orders.
Sub-admin Grids
In addition to the ones that a user has, a sub-admin can also be granted access to the following below. This is made possible by an admin granting them access under the sub-admin's user permissions.
- All Completed Work to be Reviewed, this requires "Can Close Work Orders" to be enabled under their user permissions
Grids for All Users
- My Requested Work Orders - All work orders that you have personally requested.
- My Assigned Work Orders - ALL work orders that have been assigned to you personally or automatically through a Routing Rule set up by an admin and that need to be completed.
- My Department Work Orders -These are work orders that have been assigned to your Department manually or by a Routing Rule to be accepted or rejected. Once accepted by a user within your department that can perform the work based on the Service Category selected, it will go to their "My Assigned Work Orders" and will be removed from "My Department Work Orders". If the work order is rejected, it will go to "Rejected Work Orders".
- Non-Completed Work Orders - All work orders that are unassigned (which appear in the New Work Orders grid) and assigned (which appear in the My Assigned or My Department Work Order) that are NOT yet completed.
- My Assigned Tasks - These are tasks that have been assigned to you personally within a work order that need to be completed.
- My Completed Work Waiting to be Reviewed & Closed - All work orders that you have personally performed the duties of and have marked complete that are ready to be reviewed, accepted, not accepted, or closed by an Admin.
- My Work Orders Not Accepted - All work orders that have been completed by you personally (can perform work), but have not been accepted for a given reason. You can select "Restart Work", complete it, and it will then be reviewed again by an Administrator.
- On-Hold Work Orders - These are work orders that you have personally put on Hold.
- Inventory Request - This will be included for those on a tier that includes inventory items: Inventory Request Form & Request Reports
Internal Vendors
These people can be added to have limited access to see work orders that are assigned to them under Settings > Basic > External Vendors. Then they will be given a log in where they can "Perform Work" see "My Requested Work Orders", "My Assigned Work Orders", "My Department Work Orders", "My Completed Work Orders Waiting to be Reviewed & Closed" and "My Work Not Accepted".
Portal Users
These users will only have access to "Create New Work Order", and "My Work Orders" when they log in using the Portal URL.
Dashboard Settings
Update your Dashboard Settings by clicking here, as shown below:
To the right of each Dashboard Grid, click the Edit button to make these changes
- Edit each grid
- Adjust the font size
- Set the number of rows per page you want to see
- Set if you want any grid to be completely hidden
- Set if you want any grid to be collapsed when initially loaded
- NEW: Set which column of the grid you want to be the primary sort (for Desktop)
- NEW: Set another column of the grid to be the secondary sort (for Desktop)
- NEW: Set which column of the grid you want to be the primary sort (for Mobile)
- NEW: Set another column of the grid to be the secondary sort (for Mobile)
On #1 above, after clicking Edit, all settings can be modified for each grid (see below), then click Save
Reset All Grids - This option is located on the top of your dashboard, under your name. If you find that information is missing from any of your grids, click on the Reset All Grids button (shown below) and this should correct the issue, as sometimes the dashboard gets cached. However, resetting the grid does not refresh your whole eSPACE account or the full webpage.
Expand Grids to see More Information
You can expand each grid by clicking the "+" to see the work orders associated within.
You can also expand each work order to see all of the tabs associated.
