In Work Order & Asset Management, admins can do the following in order to track time on a work order:
- Add an employee ID to each user
- Add an hourly rate to an employee
- Set who can see hourly wage rates for a work order
- Require Total Completed Hours for Tasks and Cost Items that are Time/Labor

Require hours upon Work Order completion if there are no tasks or cost items that are Time/Labor?
- Sub-admins can also see some of the above settings if they are given permission to manage users and see hourly wages.

Reminder of Who Can Be Assigned Work Order
- Regular users, sub-admins, and admins can be assigned a work order as long as the work order has the one of service categories, departments, and locations that the user, sub-admin or admin has been granted access to under their user permissions.
Add an Employee ID to Each User
If your organization uses employee ID's and wants to add those to users in Work Order & Asset Management, an admin (or sub-admin who can manage users) can go to Settings > Basic > Users, edit a user, and add their Employee ID.
Add an Hourly Rate to an Employee
- Admins can go to Settings > Basic > Users > edit any user and then see the field to enter in an hourly rate for that user.

- Then when a user, sub-admin, or admin goes to the Cost tab on a work and adds "Labor/Time",
- ..and then selects a user/technician who has an assigned hourly rate, you will see their rate auto-populate.
- Once you click save, then you will see the user, the cost, and the task on the Cost tab of the work order.
Set Who Can See Hourly Wage Rates for a Work Order
- Admins can go to Settings > Advanced > General > Work Order Workflow to change the setting that allows which users to see hourly rates on a work order.
Require Total Completed Hours for Tasks and Cost Items that are Time/Labor
- Admins can go to Settings > Advanced > General > Work Order Workflow to toggle on "Require Total Completed Hours for Tasks and Cost Items that are Time/Labor". Once enabled, then all users will be required to enter in time for tasks on a work order before the work order can be updated to the "Complete" status.
Require hours upon Work Order completion if there are no tasks or cost items that are Time/Labor?
- Admins can also go to Settings > Advanced > General > Work Order Workflow to toggle on "Require hours upon Work Order completion if there are no tasks or cost items that are Time/Labor". Once enabled, then users will be required to enter time spent on the work order before they can update the work order to the "Completed" status, even if there are no tasks on the work order.
Running a Report that Includes Time Tracking for Work Orders
- To run a report that includes time tracking on work orders, go to the left sidebar of your dashboard, click "Reports" and then "WO Time Report".
- Be sure to select all desired column headers (Display Name) that you want to include in your output of the report. You can also order the output of the report by clicking on a display name and dragging it to the desired location. Next, add your start and end dates and select the rest of your criteria. Then select "Run Report".
- In the next window, you will see the output of your report. Here you can "Export to Excel" so you can adjust the columns and rows and then print. You can also export the report "as is" to PDF or close it.
