If you are using the eSPACE Work Order Management module with the add-on module Asset Pro, then you can scan barcodes using the mobile app (eSPACE Facility Management).
When you log into the mobile app, on your Work Order and Asset Management Dashboard you will see a Scan button (located on the top of the screen, highlighted in orange). This allows users to scan barcodes to search for equipment or inventory items that have already been added within your organization OR add them as new.
When the Scan button is selected, this is the current workflow:
- The camera is enabled to scan a barcode
- When the barcode is found and scanned, there is an attempt to look up the barcode identifier in the user's account.
Scanning New Equipment or Inventory
- If the barcode is not found, your two options will be:
- Add New Equipment
- Add New Inventory Item

- When selecting Add New Equipment, you will complete the form (Equipment Name, Service Category, Description, Location, etc.) and SAVE.

- You will then have the ability to Edit Equipment, Add New Work Order or Add to an existing Work Order.

- If you select Add New Inventory Item, you will complete the form (Inventory Name, Item Type, Description, Location, etc.) and SAVE.

- You will then have the ability to Adjust Inventory (so that it is included in Current Inventory) and/or Add to an existing Work Order.
- You will then have the ability to Adjust Inventory (so that it is included in Current Inventory) and/or Add to an existing Work Order.
Scanning Existing Equipment or Inventory
- If the barcode is found when you scan it on your phone with the app, the search result will be displayed with options based on if it is an equipment or inventory item (as shown above in the attachments).
- If more than one match is found, a list of items will be provided so that the user can choose a specific item.
Scanning Equipment to Add to Work Order
When adding or editing a work order on the mobile app, you can choose to Scan a bar code on a piece of equipment so that the information about the equipment (which is stored in Work Order & Asset Management already under Setting > Basic > Equipment) will automatically be added to that work order.
- Once you either create a new work order or click to edit an existing one, navigate to the Details tab and scroll down a bit to see the Scan Barcode option.
Other Ways to Add Inventory or Equipment Without Scanning
When editing or adding a new work order, users have the ability to select to add a new piece of equipment or inventory item on the mobile app manually. To do so, take the following steps:
- Within the work order, use the drop-down menu to navigate to the Costs/Items page.
- Once on that page, choose either "Add Equipment" or "Add Inventory".
- When adding equipment, choose a piece of equipment from the drop-down, fill out the needed fields and then scroll down to click Save. Then you can choose another tab from the top right drop-down menu to edit or finish filling out other parts of the work order.
- When adding inventory, choose an inventory type from the drop-down menu, fill out the needed fields and then scroll down to click Save. Then you can choose another tab from the top right drop-down menu to edit or finish filling out other parts of the work order.
