Here are some additional optional settings that you may want to review and consider for your organization. They can be found under Settings > Advanced > General.
Show Canceled Event Occurrences on the Internal Calendar
- Select this box if you want your canceled event occurrences to be displayed on your internal calendar.
Include Space Information on Calendar
- Select if you want the space information to be displayed on the internal calendar, other than having to hover over the event to view the space.
Show Requests On Internal Calendars
- Select if you want all of your event requests to show on the internal calendar highlighted in YELLOW. If selected, then users and sub-admins will be able to see when event requests are still pending the regular level of approval (separate from pre and final approval).
Warn users when reserving Parent Items if they wish to reserve all child items?
- This is a great setting to check so that when users select a parent space, they understand they are reserving all child items below. Otherwise, select the desired child item below the parent.
- Select this if you want all users to see the national holidays on the internal eSPACE calendar views.
Require Pre-Approvals
- Select this box if you'd like to enable the Pre-Approval process.
This allows the Pre-Approver to get a first look of every event that is submitted
and have the ability to approve or decline it before going through the normal workflow. - Read more here: General: Pre-Approval Process
Require Final Approvals
- Check this box if you'd like to enable and require that all approved events get one last look
by a Final Approver, having the ability to approve or delete the event. - Read more here: General: Final Approval Settings
Require Approval of Off-Site/Virtual Events
- Select if you want to require an Admin(s) to approve any off-site and virtual events.
A recurring event must be re-submitted if an occurrence is deleted/canceled

- If you'd like an event to be re-submitted for approval if any occurrence is deleted or canceled, select this option.
Require a Category when Creating an Event
- When this box is checked, all users will be required to select a category when they create an event. To learn more about categories, go HERE.
Require at least one event contact
- When adding an event and selecting this option (see attached), this requires the requester to add at least one contact to the event.
Require # of People when Creating an Event
- For both internal and public Event Requests, you can make "# of People" a required field.
Require Begin Setup Date/Time
- When this is selected, all users will be required to add a Setup Date/Time for their event.
Require End Teardown Date/Time
- All users will be required to add an End Teardown Date/Time when this is selected.
Begin Setup Buffer (minutes)
- Here, you can add a preset-buffer based on the event start time. This works well if you want to default the setup time to specific minutes prior to the event start time.
End Teardown Buffer (minutes)
- You can also add a preset-buffer based on event end time. This works well if you want to default the tear-down time to specific minutes after the event end time.
Default Is Public to True when Creating an Event
- Select if you want all of your approved events to be marked public and show on your public calendar.

Allow Non-Admin Users to set the Event Owner to another User

- When checked, all non-Admin users can make changes to the event owner.
Include Quick Reservations On Internal Calendars
- You can add an event quickly by selecting "Quick Event Create" and it will be included on your internal calendar when you select this setting.
Allow Work Orders to be created from Events (for subscribers with Work Order & Asset Management added)

- If you are a bundled user, using the Event Scheduler and Work Order Management, this setting allows users to add a work order within the event creation process. Go HERE to learn more.
Enable Event Registration Feature (For subscribers with Event Registration added)
- This box must be checked, if you want to enable the event registration feature.
- By checking this box, all events with a registration will revert to a draft status if a different form template is selected within the registration tab of the event.

Don't allow Events to be Created with an Event Start Time sooner than X days in the future
- There is also a setting for the public event forms that is configured separately.
This setting only applies to internal events. - Apply Event Creation restriction X days to the Event Start to the Admins as well (OPTIONAL).
Don't allow Events to be Updated X hours prior to the Event Start Time -(including the next occurrence)
- When you select this option and SAVE, ALL users will not be able to select the blue "Submit Event" button for any events with conflicts. It will remain in "draft status" until conflicts are resolved. Once this is done, you will be able to submit for approval.

Check Conflicts at the Location Level?
- If you have multiple locations for your organization and would like to show event conflicts across locations, go HERE.
- For example, let's say you have a women's event on a Saturday morning at the main campus; however, you have another women's event at the east campus during the same date and time. You may want to show location conflicts here so that an attendee doesn't have to choose between the two events that are scheduled.
Disable Conflict Checking for Resources
- When checked, resources will not show conflicts when added during the event creation process. To learn more, go HERE.

Send Delete Notifications to Sub-Admins
- When checked, automated email notifications will be sent to all sub-administrators when an event that effects their area of approval is deleted.
Send All Modifications Emails to Sub-Admins
- Select this box if you want an email to go to the sub-admins with any modifications to an event that they are tied to, even if their items are already approved.
List of Emails (separated by commas) to be notified upon an Event Cancellation
- Within the text area, you can add email addresses for anyone that you want to be notified when an event is canceled. See example below.
Send Event Approved emails to Contact(s)
- This box must be checked if you want an email to be sent to the associated contact for the event when the event has been approved.
Send Event Approved Emails to All Admins
Don't send conversation emails to Comments
- Check this box if you do not want emailed conversations to be included in conversation comments.
Reduced SPAM Protection for Event Conversations Replies
- This setting allows users to respond to Conversations when they have multiple alias email addresses.

Data Feed Test Link
- Here is where you can check to see if the approved events are being included in the .ics feed for HVAC integrations with a JACE or BACnet systems, where the driver in the integration "pulls in" the schedule from your eSPACE account.
USE HVAC Unit Name in lieu of Space Names
- When using HVAC integration with a JACE or BACnet system, it's highly recommended that you toggle this setting "on" so that the integration uses HVAC unit names instead of space names, mainly because space names might change in the future at some point.
