Any event owner, event editor or Admin on the account can cancel an event, occurrence or schedule on an event within the eSPACE Event Scheduler!
- Each individual eSPACE (user, sub-admins, and admins) can manage notifications for their own eSPACE account under their profile icon > My Notifications > Notification Preferences including notifications for Canceled Events, Canceled Occurrences and Canceled Schedules.

Who Gets Notified
When an event, event occurrence or schedule on an event gets canceled, the event owner, event editors, all admins and any sub-admin with items on the event that are in their approval area will get notified (as long as they have their notifications enabled).
- If there is a user or sub-admin that does not meet the criteria above and you still want them to get notified every time an event is canceled, then you can add them to the list of emails to be notified upon an event cancelation under Setting/Advanced/General/Email Notifications. Cancel Entire Event
- Go to the event "Details" page of the event and select the gold "Cancel" button (see below).
- Enter your reason for canceling and select "Yes".
- The event will then be removed from your dashboard. To view the canceled event, go to Events, located on the left sidebar of your dashboard, then Event Actions and Canceled Events. You will see all of your canceled events here (see below).

- Internal Calendar: By default, canceled event occurrence(s) are NOT displayed on the internal calendar. If you want all canceled event occurrence(s) to show on your calendar, an Admin must go to Advanced>General>Optional Settings, check the box shown below and SAVE.
- If the setting is enabled in your General Display Setting, then the canceled event will show on your internal calendar, white, crossed out with the label "Canceled".
- Notifications about Canceled Events: An email notification will be sent to all users and contacts associated with the event.
- You can also set up additional non-eSPACE people to get an email about canceled events under Settings > Advanced > General > Email Notifications. Read more here: General Settings: Email Notifications.
Cancel a Schedule for an Event
- To cancel a schedule, go to the Schedules tab of the event and select the Cancel button to the right of the desired schedule.
- Enter your reason for canceling and select "Yes".
- Schedule with one or multiple occurrences will now show canceled.
- The event history will reflect the canceled schedule.
- Internal Calendar - By default, canceled event occurrence(s) are NOT displayed on the internal calendar. If you want all canceled event occurrence(s) to show on your calendar, an Admin must go to Settings>Advanced>General>Display Features, check the box for the setting shown below and SAVE.
- Notification: An email notification will be sent to all users & contacts associated with the event with the schedule that was canceled.
Cancel an Occurrence for an Event
- Go to the Occurrences tab of the event, expand the occurrence you want to cancel and then select the "Cancel Occurrence" in order to cancel the desired occurrence.
- You can also cancel multiple occurrences at once by choosing "Select Multiple" which appears above the list of occurrences. Then you will be able to select check boxes next to each on in order to cancel them as a group.
- Enter your reason why you are canceling the occurrence and then select "Yes".
- Once the occurrence is canceled, it will no longer be able to be edited and it will display as Canceled on the occurrence tab of the event as well as the internal calendar views in eSPACE.
- The event "History" will also reflect the canceled occurrence.
- Internal Calendar Setting: By default, canceled event occurrence(s) are NOT displayed on the internal calendar. If you want all canceled event occurrence(s) to show on your calendar, an Admin must go to Settings>Advanced>General>Display Features, check the box for the setting shown below and SAVE.
- Internal Calendar: The canceled occurrence will then show on your internal calendar as shown below.
- Notification: An email notification will be sent to all users & contacts associated with the event.
Public Calendar Setting: If your event is marked as public and you cancel an occurrence, schedule or entire event and want it to be displayed on your public calendar as canceled, you need to do the following:
- Go to Settings>Advanced>Public Calendar
- Click the edit option for one of your Public Calendar.
- Scroll down and enable "Show Canceled Event Occurrences on Public Calendar" and Save.
- The public event occurrences will then show as canceled on your public calendar!
