When adding spaces, resources, and services to an event there is a potential for multiple different types of conflicts.
- Item Restrictions for Resources or Services within Spaces
- Overlapping with a Closure
- Item Availability Schedules for Spaces, Resources, and/or Services
- Number of People Restriction for Spaces
- Double booking a space, resource, or service that is already requested on another event
Viewing Conflicts
- There are two places where you can view conflicts on an event, 1. The Items > Space/Resource/Service tab and 2. the Occurrence tab.
1. Conflicts on the Items > Space/Resource/Service tab
As you are selecting spaces, resources, and services there will be indications if certain spaces, resources, and/or services are "in conflict".
Item Restrictions
- When setting up a Resource or Service you can "restrict" them to certain Space(s). To do this, simply go to Settings > Basic > Resources or Services and choose to edit one.
Conflicts with Closures
- In order to see which event occurrence conflicts with a closure, check the Items > Space or Resource or Service tabs. Click on the word "Closure" next to the spaces, resources and/or services chosen on your event to see which event occurrences conflict with upcoming closures. (Closure conflicts do NOT appear on the Occurrences tab.)
Item Availability Schedules
- When you see a red circle with a line through it next to an item, click it in order to see if it has had an availability schedule assigned to it by an admin. (Conflicts of these types will NOT appear on the Occurrences tab.)
Number of People Restriction for Spaces
- When you see a red circle with a line through it next to an item, click it in order to see if it has had a number of people violation. Thsi means that the number of people entered on the Details tab doesn't fit within the parameters of the number of people limiters set by the admin for the space. (Conflicts of these types will NOT appear on the Occurrences tab.)
2. Conflicts on the Occurrence Tab
- If there are conflicts, you will see a conflicts warning at the top of the Occurrence tab. Depending on your account settings and user level and permissions, you can either click "See All Conflicts" OR "See all Items" and any item that is in conflict with another event will be highlighted in red and say "Conflicted".
- If you have "See All Conflicts" selected, then the occurrences will only show you the ones that have items that are in conflict, rather than all items chosen.
Correcting Conflicts
1. Items Tab
- 1. On the Items > Space, Resource or Service tabs if you have an Item Restrictions conflict, then you will only be able to select certain resources and services base on the spaces that you have already selected.
- If you have a Conflict with a Closures and you are not an admin then you will need to either choose a different day(s) on the Details tab OR cancel or delete the conflicting occurrences on the Occurrences tab.
- If you are an admin, then you can override the Closure and submit the event anyway.
-
If you have an Item Availability Schedule conflict and you are not an admin then you will need to adjust the time and/or day on the Details tab OR select another space, resource, and/or service.
-
If you are an admin, then you can override the thsi type of conflict and submit the event anyway.
-
- If you have a Number of People Restriction for Space conflict and you are not an admin then you will need to choose another space that matches the number of people that are coming to your event (as noted on the Details tab).
- If you are an admin, then you can override the thsi type of conflict and submit the event anyway.
2. Occurrences Tab
-
-
2. Click See All Conflicts to see all the spaces, resoeuces, and services that are already booked on a different event.
- If there are any spaces, resources, and services are already booked then you will see those for each occurrence on the Occurrence tab.
-
2. Click See All Conflicts to see all the spaces, resoeuces, and services that are already booked on a different event.
- In this example, the "Competition Gym" is already booked on a different event for this same day and time so this user can either delete this space from this occurrence OR choose a different space fr this date or event (all occurrences).
Submitting an Event with Conflicts
If the admin has set up for users and sub-admins to NOT be able to submit an event when it's in conflict then the user and sub-admin will need to resolve all the conflicts.
If the admin has not set up the account to prevent users and sub-admins from submitting a conflicting event, then the users and sub-admins will NOT need to resolve any conflicts before submitting the event for approval.
