Space Configuration Builder on Floor Plan are designed to be an extension of the Configurations feature found under Settings > Advanced > Configurations. While ALL subscription tiers can enjoy the benefit of the Configurations feature under Settings, those on our higher subscription tiers will also be able to build and edit custom Space Configuration Builder on Floor Plan! Spaces must first be linked to Floor Plan BEFORE you can build Space Configurations on Floor Plan.

Viewing Your Subscription Details
- Each eSPACE admin with access to Billing can view what subscription tier your organization currently has and everything that is included in their account under Settings > Other > Billing > Manage.
Settings > Configurations Vs. Space Configuration Builder
The Configurations feature under Settings allows admins to name, describe, and add a picture of a setup configuration and then assign that configuration to as many spaces as needed. When a user is adding an event request to Event Scheduler, they can choose the space needed on the Items > Space tab and then on the Setup tab can select edit next to the space to select an available configuration. Also, when you export the "Event Setup" report (& choose to include attachments) it will show the name, description, and picture of the configuration selected for the space within that event.
- Once created, these configurations will also be visible on Floor Plan after you click on the appropriate space and then the Configuration tab in the right side menu. However, these can only be edited under Settings > Advanced > Configurations.

Space Configuration Builder on Floor Plan allows anyone with editable access (in the Ultimate or Enterprise subscription tiers) to Floor Plan to choose a space (after a space has been linked) and build a custom configuration for that space using the available icons. Users who can edit Floor Plan will also see a list of generic shapes they can use to further customize the setup in the space they want to design. While the default icons will automatically adjust to scale (which is set by the user after they upload the Floor Plan) the generic shapes can be adjusted to whatever size is needed. All icons or shapes can be rotated.
- Once created, these will appear on the Configuration tab of a space after you select one on Floor Plan.
- Space Configurations made on Floor Plan will also appear in the list of configurations under Settings > Advanced > Configurations. However, these can only be edited on Floor Plan which is why you will see a "Edit In Floor Plan" button after you click to edit the configuration under Settings.
How to Add A Space Configuration on Floor Plan
All users who have been given access under their user permissions to edit Floor Plan and are on an Ultimate or Enterprise tier subscription will be able to create customer space configurations on Floor Plan for any space that has already been linked to Floor Plan.
1. In order to create a space configuration, click start by clicking on the space that you want.
2. Switch to the "Configuration" Tab in the right-side menu.
3. Click "Build New".
4. Next, add the name of the configuration, add a description and then click "Next".
5. You can choose to add "Space Icons" (chairs, tables, etc..) and/or Shapes (squares, circles etc..) to the configurations.
Adjusting Shapes on the Configuration
- A. Initial Placement: All shapes that you select to add will appear roughly in the center of the space. Click and hold the icon to drag it to where you need it.

B. Size/Scale: All "Space Icons" will auto-adjust to the scale you set after uploading your Floor Plan. In order to see if your shape needs to be adjusted more, you can zoom in by using the plus symbol at the top center of the Floor Plan.
- Generic shapes such as circles, squares, stars etc... can be adjusted bigger or smaller to account for unique features in the configuration but they are not set to scale.
- C. Rotating: To rotate you can either click and hold the arrow below the shape and move your mouse cursor to one side of the other, use the arrow in the right-side menu bar to rotate 90 degrees at a time, or edit the number next to the rotate icon.
- D. Color Adjustment: You can change the color of the shape you are currently editing by adjusting the color selected.
- E. Cloning: You can clone the icon or shape you are currently working with in order to quickly add several of the same icon, such as a rows of chairs. (You cannot select a grouping to clone at this time)
- F: Save: After making any changes to the shape and before making any changes to other shapes, click "Save" in the bottom of the right-side menu.

G. Copying a group of icons
- In order to do this, first add as many of the icons as you want and then click a box around all the ones that you want to edit as a group.

- Then click the copy/clone option in the left side menu to copy/clone all of the chosen icons.

- A second set of the icons will appear where you can then drag them to their correct location, rotate them, choose a different color...etc.
- Remember to click "Save" after making changes to the selected icons. Then you can either add more icons, copy/clone more groups of icons, or click "Save" again in order to save the Space Configuration as a whole.
6. Continue to add as many shapes as you need to the Space Configuration you are working on, clicking "Save" after each addition and when you are finished building out that Space Configuration click "Save" again to save the configuration as a whole.
Viewing Space Configurations On Floor Plan
Once a user with editable access to Floor Plan has added a space configuration to a space that is linked to Floor Plan, ALL users will be able to view it. Only those who also have editable access to Floor Plan will be able to edit that and any already created Space Configurations as well as add their own.
To view all space configurations that have been added to a space simply click on a space and then switch to the Configurations tab. There you will see:

A. All space configurations that have been built from scratch on Floor Plan,
- These can be edited only on Floor Plan

B. Any configurations that have been created by an Admin under Settings > Advanced > Configurations.

Adding Additional Spaces to a Space Configuration
Keep in mind that Space Configurations created on Floor Plan automatically adjust to the scale of the space (unless you are using only "Shapes"). Therefore, each Space Configuration is specifically designed for the space that it is initial created in. However, you can add additional spaces to a Space Configuration which is helpful for buildings with multiple spaces that are in similar size and need the same Space Configuration.
- A. To do this, after you initially click on a space to start building a Space Configuration you can select additional spaces for that configuration to apply to.

B. Once you add spaces to the Space Configuration you initially created for one space, you will see that Space Configuration when you also click on the additional spaces when viewing their "Configurations" tab.
- You can only edit a configuration from the space that it was created in.
- C. When viewing a designed space configuration in a secondary space, you will see it in the list of configurations on the "Configurations" for the space.
- D. In contrast, you will see the designed space configuration within the space you designed it after selecting a space > "Configurations" tab > clicking on a specific configuration.
Space Configuration Description
Currently, only admins will see the space configuration description when A. creating a space configuration. B. The description they add when first naming the space configuration will be added to the description that automatically keeps track of how many of each "Space Icon" gets added.
(However, an enhancement to Space Configurations later will allow all users to see the description when viewing Space Configurations on Floor Plan.)
Users with editable access to Floor Plan can also add to the description that gets automatically generated based on what shapes are added if desired.
Tips Using Space Configuration Builder on Floor Plan
For more complex or detailed space configuration setups, here is a trick for creating a space configuration the most efficient way.
1. Start by naming and describing the space configuration.
2. Add the most common shape icon and use the "copy shape" to repeat that shape and place it everywhere it is needed.
3. If you need to add and rotate a shape several times, consider adding the shape once, then rotating it, and then copying it and placing that rotated shape to all its necessary locations.
4. Repeat this method, for example when placing chairs around multiple tables where all the chairs need to be at an angle.
5. Remember to click "Save" to save the last icon added and then click "Save" again to save the configuration.
